Step 1- Creating the Template
The first step to communicate with all active patients would be to create the communication template that you would like to send.
You can create an SMS template or an email/document template by following the below steps:
For SMS Templates
Go to the 'Communication' section > 'SMS Templates' > Select + to create a new template > add in the required information. You can also add patient tags by dragging them in from the left-hand side or by copying and pasting them. These tags make the communication unique to the patient that is receiving it.
For Email/Document Templates
Go to the 'Communication' section > 'Email/Document Templates' > Select + to create a new template > add in the required information. Similar to the SMS templates you can also copy and paste any tags to make the communication unique to the individual who is receiving it.
Step 2- Running the Report
Once you are happy with the template that you have created the next step is to send it out to all active patients within the practice. This can be done by following the below steps:
Go to 'Reports' > 'Patient' > 'Patient Report'. See below:
Once you have selected this report, this will bring back all patients within the practice regardless of their status. To filter this report to only show active filters will need to be applied. This can be done by following the below steps:
Simply select the +/ button to apply filters. See Below:
Once you have selected this function, drop-down facilities will appear under each column that gives you the ability to add filters. To show all active patients, filters will need to be applied to the status column to only show records that have a status equals to Active and anyone who has not been deleted. Update these filters as seen below:
To apply the filters you will then need to use the magnifying glass located directly under the +/ function. See below:
This will then filter the report to only show active patients.
Step 3 - Sending the Communication
The last step is then sending the communication to the patients. This can be done by selecting the icon that appears just above the table. See below:
You will then be able to select the communication method that you would like to use and the appropriate template from the drop-down list. See below:
Once you are happy with the communication simply select to confirm. You will be able to preview the communication before you finally send it out to all patients. Once you are happy to proceed, simply select 'send' to send the communication.
