Customers who have the patient portal enabled have the ability to email treatment plans to patients securely, using SMS authentication.
An ‘Email’ icon will appear when a treatment plan is selected. This icon is located at the top of the treatment plan on Aerona. See Below:
NB: The patient will need to have a valid email address, a valid mobile number, and have enabled the 'allow emails' field in their communication preferences, before you can email the patient their treatment plan.
When a treatment plan is emailed, the patient will receive an email containing a link to the plan. See below:
Once the patient selects the link, they will be directed to a page requesting an access code which will be issued to them via SMS. See below:
NB: Each time an SMS code is sent to a patent, one SMS credit is deducted from the practice SMS balance. Patients do have the option to resend the code if its expired, although are restricted to three attempts for this.
Once the code is entered, the patient's treatment plan will populate. The patient will be able to view, sign and download a copy of the plan.
The option to sign will be available via the signature box to the bottom of the plan. See below:
The patient must select save on the bottom right, to update the signature. The signed plan will be updated to Aerona.
Patients will also have the ability to download the plan as a PDF. This option is available via the download icon located to the top right of the treatment plan. See below:
Once ‘Download’ is selected, the PDF treatment plan will be generated. See below:

Emailing externally outside of Aerona
Although we would not recommend this option, there is also the option of emailing a patient's treatment plan externally outside of Aerona. This can be done by following the below steps:
- View Treatment Plan
- Select Save and Print
- Change Destination to 'Save as PDF' within the print preview
- Click Save.
The screenshots below show an example of this.
After this has been completed you can then send this to the patient through an external email by attaching the PDF. You can also password protect the PDF for further security.
